Renting Policies & Guidelines

Minimum age for rental is 23 years old. Adult/child ratio requirement is 4:1 for children under 10. 10:1 for ages between 10 - 23.
A $200 deposit is due upon reservation for any event rental. Deposit will be returned as soon as studio/supplies are checked and found to be in acceptable condition. Once a deposit is made, it can not be refunded in case of cancellation. Even in cases of bad weather, illness or emergency. Zelle to info@swaydancechicago.com is preferred method for deposit. Date/time are not reserved until deposit is made.
Rent payment is due in full one month prior to event. Zelle to info@swaydancechicago.com. If rent is not paid one month prior to event date, the date will be released to other renters and deposit will be forfeited. If making the reservation within one month, rent is due in full to reserve the time/date.
If an event is cancelled with less than 2 weeks notice, no refund will be given. Even in cases of illness, bad weather or other emergency. If an event is cancelled with 2 - 4 weeks notice, a 50% cancellation fee will be charged.
Time needed for set up, party and clean up needs to be reserved. Host, decorator, event planner, relatives will not be allowed in the space prior to your reserved time. Most parties use 1 hour for set up and 1 hour for clean up. An example: Rental from 5pm - 11:00pm. 5 - 6:00pm Set up. 6 - 10:00pm Party. 10 - 11:00pm Clean up.
Lessee assumes liability for injury of any persons they invite to the space, including but not limited to: injury to students in the renterâs class/event, injury to performers or collaborators in rehearsal/event, injury to guests or audience members at a showing.
Sway Dance books event times back-to-back. If there is an event or class before your scheduled time, please remain in the waiting area until it is your turn in the studio. If you need time in the studio to prepare for your event, you must book the studio accordingly. Your rental time is counted from the time we unlock the door, to the time we lock up for closing. Set up, party and clean up are all included in your rental time/price. Hours can not be extended for any reason on your event date. Sway employees are instructed to unlock/lock the door at the time stated on this contract. Reserved time includes time needed for cleaning. If renter goes beyond reserved time, fees will be taken from deposit at 2X the hourly rental fee.
Sway Dance has 2 parking spots behind our building. Each spot can fit 1 or 2 compact cars only. If a Sway Dance employee is on site at the time of your rental, they will take 1 spot. The last 1 can be used during your rental. If no Sway employee is on site, you are welcome to both. Guests who park in our parking lot must be conscious of our neighbors. Any cars blocking others or parking in incorrect spots will be towed at owners expense.
For any urgent issue that might compromise the structure or safety of the studio or the building, please call Teresa at 708-717-9119. . For accidents, health crises, criminal activities, or fire, call 911 first, then Teresa.
The person who is responsible for renting the studio will need a brief lesson in working the stereo systems and is the ONLY person allowed to touch it during your rental time. The stereo system has an auxiliary cord and Ipod cord to hook up your music. Especially when our neighbors are hosting classes, please keep music to appropriate levels.
No smoking or vaping anywhere inside the building. No incense or open flames of any sort.
No smoking or gathering is allowed in the back alley or parking lot. Please be respectful of our neighbors by keeping all voices down if outside the front of the building.
The lessee assumes responsibility for returning the studio to a good state before they leave. Please refer to the cleaning checklist found in the black rental binder when you arrive. All tasks must be complete before you leave the space. All lights, and electrical equipment must be turned off. If Sway Dance feels that the studio is left in poor condition you will be charged a cleaning fee of up to $300.
After your rental, trash must be taken to the bin labeled SWAY DANCE CHICAGO in our parking lot. DO NOT OVERFILL or leave trash on the ground. If trash is full, please seal trash bags and leave them inside the back door.
Lessee will assume full responsibility for any damage caused to any part of the entryway, studio, waiting room, bathroom, stereo equipment, floors, windows, mirrors, walls, ceilings, etc. sustained during the renterâs scheduled studio time. Lessee agrees to pay in full for repair or replacement of any item or structure damaged by the renters or by performers, collaborators, or guests invited to Sway Dance by the renter. Full payment for damage will be made within ONE MONTH of the damage or the damages will be turned over to the collection agency and a fee of 40% will be added to your total. Please note that the mirrors are the most expensive piece of property. Replacing one mirror will cost $550. Please be sure students do not lean on or touch the mirrors.
Please check the studios, waiting areas, bathrooms and kitchen areas for any of your participantâs belongings before you leave the building.
Children must be supervised at all times. No children are allowed in unsupervised areas.
No gum is allowed at any time.
No pets are allowed without special permission and deposit.
Participants/guests are not allowed to enter the space until renter who signed this contract has arrived.
If you have any issues with the studio, like maintenance or stereo problems, or issues with other instructors, please contact Teresa at info@swaydancechicago.com. Weâd like to know about them before they escalate.
If a Sway employee is on site for your rental, they will be available to answer questions about where to find supplies. They are not responsible for set up, clean up, or technical support unless staff add-ons are selected and paid for.
Sway Dance Chicago is subject to all regulations from the state of Illinois and city of Chicago. As rules change regarding Covid-19, Sway will make adjustments to meet those requirements. Renters are expected to follow all guidelines presented by the state, city and Sway Dance. If regulations are not followed, Sway Dance employees will ask guests, participants, hosts to exit the property. No refund will given in this circumstance.
Sway Dance reserves the right to change the above rental policies at any time to reflect the needs and concerns of the studio, community, and resident companies. Lessee will be informed of changes to rental policies. I have read and fully understand the terms of the rental information and agreement.

If you are providing alcohol, a fee of $120 is required for staff/security camera monitoring.
If you are providing alcohol, event insurance is required. We recommend www.theeventhelper.com. This fee can range between $80 - $200 for the day depending on your rental details.
No underage drinking is allowed at any time. If suspected, all guests will be asked to leave. In this situation, no refund will be given and deposit will be forfeited.
Decorations

Decorations are welcome and encouraged.
No tape can be used on the mirrors. Any tape or other materials must be carefully removed from walls when finished. Use a wet wipe to clean the area if stickiness is left behind.
No confetti, glitter, flower petals are allowed.
No incense or open flames of any sort.
All balloons decorations must be popped and placed in the trash bin labeled Sway Dance Chicago
Extra furniture/decorations are welcome. If feet are metal/wood, please make sure to place felt or fabric under to prevent scratches.
Most furniture can be moved/rearranged to desired locations. The table holding receiver can NOT be moved. The bar can NOT be moved. Please ask for help moving couches or other large items.
Clients and their guests are solely responsible for any personal items brought to the event. We are not liable for any lost, stolen, or damaged personal belongings. This includes, but is not limited to, clothing, accessories, electronics, decorations, and other valuables. We advise all attendees to keep their personal items secure and to not leave them unattended.

No warning will be given to forfeit deposit in any of the following circumstances:
Parking rules are not followed by host or guests
Host or guests are loitering in back alley/outside back doors
Trash is left on the ground or dumpster is overflowing
Trash is put in any bin other than the green dumpster labled "Sway."
Excessive cleaning
Guests display inappropriate behavior and/or we must ask them to leave.
Alcohol is found on site without event insurance
Underage drinking is suspected
Linens are not left at Sway
Damages are found
Going over the guest limit (Limit of 100 people).
